FaxTalk Phone


This chapter describes how to use FaxTalk Phone's speakerphone capabilities and personal voice messaging features to take messages, record greetings, listen to messages, and receive faxes.

Making Calls with FaxTalk Phone
When FaxTalk Phone receives an incoming call and you have Auto Answer and the When Phone Rings option enabled you will see a dialog box "pop up" and optionally play a .WAV file to indicate a new call. When the dialog pops up you have the option to answer the call with FaxTalk Phone, let the voice mail answer the call, or ignore the call completely. Choosing to answer the call with FaxTalk Phone will present you with the FaxTalk Phone window and the line will be answered. You can then conduct your conversation. Press the Hangup button when you are done.

You can place outgoing calls with FaxTalk Phone using a variety of different methods. If the number you wish to call is entered in your phonebook you can select the Phonebook tab and either double click on the entry or highlight the entry and hit the dial button. If you previously added a number to a speed Dial button you can click on the Speed Dial tab and click on the appropriate button. You can also click on the Speaker button and enter the numbers to dial individually. Press the Hangup button when you are done.

FaxTalk Phone LCD
The LCD for FaxTalk Phone displays various messages and information depending on the current operation. The current time and date is always displayed in the upper right hand corner, and the status of the software is always displayed in the lower left hand corner.

When the FaxTalk Phone application is idle the LCD will display the total number of messages and faxes in the center of the display.

When the FaxTalk Phone application is used to place an outbound call the LCD will display the number being dialed plus any additional numbers pressed while online. The upper left hand corner will display a call timer that will keep track of the duration of the call.

When the FaxTalk Phone application is used to accept an incoming call the center of the LCD will stay blank. If you subscribe to Caller ID service the caller's information will display in the lower left hand corner.

Dial Keypad
The keypad buttons 0 through 9, the Star (*) and Pound (#) keys work just as they do with a standard telephone. You can also enter a number, before placing a call, while your "online".

Redial List
The last number redial list displays the last 20 numbers dialed and provides the opportunity to select a number from the list for redialing. Once a number has been selected it will display in the Redial Field. Simply click on the
Dial button to dial the number. You can type a number in the redial field and select Dial to dial the entered number. Additionally any entry selected in the Phonebook tab will display in the Redial Field and clicking on the Dial button will dial the phone number stored in the phonebook entry.

Dial Button
Dials any digits entered in the Last Number Redial field. This includes numbers selected from the Phonebook tab or from the Redial List. After clicking on the
Dial button any entries in the Redial Field will be displayed on the LCD.

Flash Button
Flash can be used with features such as
Call Waiting or Call Transfer if you have those options with your phone service. If you subscribe to Call Waiting, you can click the Flash button to pick up a call that comes in while you are on the phone. After you are done speaking to the new caller, click the Flash button again to return to the original caller.

Hold Button
Places the caller on hold and optionally plays music to the caller. When the caller is on hold both sides will not be able to hear each other. If the Play Music on Hold option is enabled under the Music on Hold Setup then the caller will hear music while on hold. The green light that appears on the Hold button indicates that Hold is active. Clicking the
Hold button again turns Hold off and allows the conversation to continue.

Mute Button
If you want to speak without having it picked up by the person on the line, press the
Mute button. The green light that appears on the Mute button indicates that Mute is active. Clicking the Mute button again allows the other person to hear what you are saying.

Speaker / Hangup Button
When you click the
Speaker button it takes the modem off-hook and you hear dial tone. The red light that appears on the Speaker button indicates that it is active. At this point you can enter digits from the keypad to dial a number and they will display on the LCD. When off-hook the Speaker button changes to a Hangup button clicking it again hangs up the line.

Messages Button
The Messages button opens the Review Messages window to listen to received messages. The Messages button contains a red LED that will blink when you have received new messages.

Faxes Button
The Faxes button opens the Review Faxes window to view and print received faxes. The Faxes button contains a red LED that will blink when you have received new faxes.

Speed Dial Tab
You can store up to eight frequently used numbers using the Speed Dial feature. To use the Speed Dial feature, simply click on the desired
Speed Dial button. FaxTalk Phone will immediately dial the phone number assigned to that button.

Adding Entries to the Speed Dial Buttons
To configure the Speed Dial buttons choose
Setup > Speed Dial Buttons or right click on any of the speed dial buttons.

Phonebook Tab
The Phonebook tab displays all entries in the currently selected phonebook. You can dial an phonebook entry by either double clicking on the entry or highlighting the entry and clicking the
Dial button. When the Phonebook entry is highlighted the number to be dialed is displayed in the Redial Field. Other options include selecting a different phonebook and, adding, modifying and deleting entries in the current phonebook.

Adding Entries to the Phonebook
You can add an entry to the phonebook by clicking on the
Add button on the Phonebook tab.

Modifying Entries in the Phonebook
You can edit any existing phonebook entries by highlighting the entry and clicking on the Edit button on the Phonebook tab.

Deleting Entries in the Phonebook
To delete an entry in the phonebook highlight it and click on the Delete button on the Phonebook tab.

Volume Control
The Volume control allows you to adjust the volume of the caller while online with FaxTalk Phone.

If you want to increase the volume of the caller's voice, slide the volume control to the to the right. To decrease the caller's volume, slide the volume control to the left.

Listening to Received Messages
Listening to messages is very easy. With FaxTalk Phone you can listen to messages at your PC through the Review Messages window.

FaxTalk Phone will display the total number of messages received on the LCD screen. The Messages button will have a blinking red LED to indicate if there are any "new" messages. To listen to received messages simply click on the Messages button to display the Review Messages window. From the Review Messages Window you can play and delete received messages.

Review Messages Window
The Review Messages window is used to access received messages in individual mailboxes. The window contains a Mailbox selection dropdown where you can select which mailbox to access. Logging in using the All Mailboxes selection will allow you to view the messages in all mailboxes. If you chose to password protect the mailbox you must also enter the associated password to complete the log in procedure. The contents of the mailbox will only be displayed if the correct password is entered. Use the
Play To dropdown to select the device to play the messages to. Below the Mailbox and Play To dropdowns there is a list of received messages where each entry contains the time, date, length, and if you have Caller ID service the caller ID number of the person leaving the message. There is also a duration indicator that allows you to selectively move forward and backward during the playback of a message. The buttons at the bottom of the window include the message player controls: Play, Stop, Previous, and Next and a Delete button to delete messages. The Delete button will delete any highlighted entries or all entries if nothing is currently selected.

There are two methods of reviewing messages in FaxTalk Phone: Continuous and Individual. The Continuous method is very similar to the operation of a standard answering machine where hitting the Play button plays all of the messages continuously from the first message received. The Individual method involves simply selecting the message and hitting the Play button. FaxTalk Phone will play the selected message and any messages received after the selected message.

Using the Continuous method to play all messages:
Simply click the Play button and FaxTalk Phone will begin playing the received messages.

As the message is played, the position/length indicator moves within the bar showing your position within the message. This information is also displayed numerically above the slider bar.

You can also use the position indicator to navigate through the playing message. Slide the bar backward to repeat portions of the message, or slide the indicator forward to skip parts of the message (this feature depends on your modem's capabilities).

Use the Next Message (button with two arrows pointing to the right) and the Previous Message (button with two arrows pointing to the left) buttons to play the next or previous messages that are ready to play. Use the Delete button to discard messages after you've listened to them.

Using the Individual method to listen to a specific message:
Double-click on an entry in the messages list. The message will be played to the currently selected device in the Play To list or highlight a message and click the
Play button at the bottom of the Review Messages window.

As the message is played, the position/length indicator moves within the bar showing your position within the message. This information is also displayed numerically above the slider bar.

You can also use the position indicator to navigate through the playing message. Slide the bar backward to repeat portions of the message, or slide the indicator forward to skip parts of the message (this feature depends on your modem's capabilities).

Reviewing Received Faxes
Receiving faxes is very easy. With FaxTalk Phone you can review your faxes at your PC through the Review Faxes window or from any touch tone phone by calling in remotely.

FaxTalk Phone will display the total number of faxes received on the LCD screen. The Faxes button will have a blinking red LED to indicate if there are any "new" faxes. To review the received faxes simply click on the Faxes button to display the Review Faxes dialog. From the Review Faxes dialog you can view, print and delete the received faxes.

Review Faxes Window
The Review Faxes window is used to access received faxes in individual mailboxes. The window contains a Mailbox selection dropdown where you can select which mailbox to access, and a list of received faxes where each entry contains the time, date, length, and if you have Caller ID service the Caller ID number of the person who sent the fax. The buttons at the bottom of the window are used to View, Print and Delete faxes. The Delete button will delete any highlighted entries or all entries if nothing is currently selected.

Recording a New Greeting

To record a voice greeting:

  1. Click the New button under the Greeting section of the Setup > Mailbox dialog.
  2. Choose the device from which you want to record (the selection will vary depending on your modem's capabilities) in the Record From: list box.
  3. Choose the level of voice quality you'd like to record at from the Quality menu.
  4. Press the Record button (button with red dot) or choose Play > Record. You can stop recording at any time by pressing the Stop button (button with square) or by choosing Play > Stop.
  5. As you record the greeting, the position/length indicator moves within the bar showing your position within the message and displays the message length. This information is also displayed numerically above the slider bar.
  6. To save the greeting you just recorded, choose File > Save.
