Configuring the FaxTalk Software


Your FaxTalk software is designed to be extremely flexible and easy to configure. Before you begin using your FaxTalk software it may be a good idea to review the configuration and setup menus in FaxTalk Messenger and FaxTalk Phone to configure the software to fit your needs. Certain configuration options in FaxTalk Messenger are only available to the Mailbox Manager.

Some configuration settings are common between FaxTalk Messenger and FaxTalk Phone and changes in one application will be reflected in the other.

FaxTalk Messenger
FaxTalk Messenger contains configuration options for the modem used by the FaxTalk software, as well as dialing and answering settings, and fax and voice mail configuration. You can also access the mailbox configuration menus to add, modify, or delete mailboxes.

Configure Modem Menu
The Modem Configuration parameters let you specify the desired options for the modem type you selected during the installation and configuration. From the Modem Configuration window you can modify the setting for the modem initialization string, the port the modem is using, at what speeds you want to send and receive, the speaker mode and the speaker volume control. Access these parameters with the
Configure > Modem menu command.

Type
If you want to change your Modem Type after installing FaxTalk Messenger, you must return to the FaxTalk Messenger Setup program. The Modem Type cannot be specified from within FaxTalk Messenger.

Initialization String
A default Initialization String is built into FaxTalk Messenger for the Modem Type you selected. Normally you WILL NOT change this setting. If you need to modify the initialization string, type in any additional modem settings you need.

Port
Select the COM Port to which the modem is attached. COM 1 is the default selection. Verify that there are no other devices currently assigned to the selected COM Port, or using the selected COM Port's IRQ. COM Port conflicts frequently prohibit the use of the fax modem. COM Ports 1 and 3, and 2 and 4, often share IRQs.

Transmit/ Receive Speed
Select the maximum Transmit/Receive speed for your modem. 14,400 bps is the default maximum transmit/receive speed.

Speaker
Select whether you want your modem's speaker enabled.

Speaker Volume
Select the desired speaker volume for your modem, by clicking on the volume level. Medium is the default setting.

Configure Dialing Menu
The Dialing Configuration parameters specify the dialing characteristics of your telephone system and how you want FaxTalk Messenger to handle dialing. Access these parameters with the
Configure > Dialing menu command. The Dialing Configuration options include:

Dialing Prefix
Enter a value in this field only if the phone you will be using requires that you dial a special number to connect to an outside line. Type the dialing prefix required to get an outside line (usually 9) followed by a comma (to indicate that the modem should pause for moment) in the text box. This allows your phone system to connect with an outside line before dialing the desired phone number.

When you send faxes using FaxTalk Messenger, you will be able to override the prefix and not dial it for a particular recipient by entering a colon (":") as the number's first digit.

Dialing Method
Click on the Tone radio button if the telephone line you are using can operate with tone dialing. Click on the Pulse radio button if your line requires dialing with pulses.

Credit Card Codes
Enter your credit card code if you intend to bill the modem use to a credit or calling card. Two credit card number entries are available. You can also use these fields to represent complex dialing setup strings or long-distance access codes. To use these codes, simply insert an @1 or @2 in your recipients' fax phone numbers. For example you may wish to enter a number to access a long distance service in the @1 field and the PIN code in the @2 field. You would then enter a fax number in the phonebook such as @1,,,,408-342-1022,,@2. This will dial the number stored in the @1 field wait the number of pauses entered, dial the fax number, wait the number of pauses entered, and then enter the pin code.

Local Area/Country/City Code
Enter your local area or city and country codes. FaxTalk Messenger examines this field before dialing. If you are making a local call (that is, the recipient's fax number starts with these digits), FaxTalk Messenger will automatically strip these characters from the beginning of a phone number, because they are not required.

Number of Retries
Select the number of times you want FaxTalk Messenger to try sending a fax if it was unsuccessful in the first try. The number of retry settings range from 0-8. The default setting is 2 retries.

Retry Delay Period
Specify the amount of time you want FaxTalk Messenger to wait before retrying to send the transmission. The delay period settings range from 1-60 minutes. The default setting is 10 minutes.

Wait for Dial Tone
Specify the amount of time required to get a dial tone on your phone system. The wait for dial tone period settings range from 1-8 seconds. The default setting is 1 second.

Duration of Comma
Specify how much time should be equated with the insertion of a comma in an outbound fax phone number. This option is used by people who are using a PBX phone system and must dial a number (usually 9) to get an outside line. The comma in the phone number after the 9 allows the phone system enough time to get an outside line before proceeding to dial the specified number. The Duration of comma settings range from 1-8 seconds. The default setting is 1 second.

Configure Answer Menu
The Answer Configuration parameters specify whether FaxTalk Messenger automatically answers calls and how it will handle that call, which greeting to play, how you want FaxTalk Messenger to announce the receipt of new faxes and messages at your machine. You can also enter information regarding remote access and assign Hot Keys to system functions. Access these parameters with the
Configure > Answer commands and you can set:

Answer
Click on the checkbox to indicate whether you want FaxTalk Messenger to answer the phone. When the box is checked, FaxTalk Messenger automatically answers the phone. Select the number of rings you wish FaxTalk Messenger to answer after. The number of rings can range from 1-8.

Enable Toll Saver
Check this box to enable Toll Saver. With this option checked, FaxTalk Messenger will wait two extra rings before answering when you have no new messages or faxes.

When Phone Rings
FaxTalk Messenger can display a pop-up message box whenever a call is received at your computer. The Pop-up box notifies you of the incoming call and gives you the option to let FaxTalk Messenger take a message, to not answer the phone at all, or to take the call yourself using FaxTalk Phone. Click the Configure button to select whether you want a pop up dialog box or a .WAV file played when there is an incoming call.

Distinctive Ring
If the Distinctive Ring phone service is available in your area and you subscribe to it, you can select this option to allow more than one phone number to call into the same phone line. Incoming calls can be identified as to which phone number by the ring length and timing of the ring. If you enable this option, click the Configure button and specify how FaxTalk Messenger should answer each line. Click the checkbox next to each line you plan to use (up to 4 lines), and select which mailbox you want each line to answer with. If your modem uses nonstandard ring messages, click the Setup button from the Configure Distinctive Ring Answer dialog box to modify the standard settings.

Play Greeting
Click the Greeting checkbox to have FaxTalk Messenger play a greeting when an incoming call is received. Click the down arrow to select a greeting from the user directory. Click the file folder button to display the Open Greeting dialog box, letting you change drives and directories until you display the greeting you want to select. You can click on the New button to record a new greeting, the Edit button to edit the current greeting, or Delete button to delete the current greeting.

Auto Detect Fax
If you want to answer with a voice message and be able to receive faxes at the same time, click the checkbox next to Auto Detect. When an X appears in the checkbox Auto Detect is enabled. Auto Detect availability is dependent on your modem's features.

Flash Program Icon
Check this box to flash the minimized FaxTalk Messenger program icon when a new fax or message is received.

Sound
Check this box to announce new messages and faxes with sound. Select the sound file you would like to use. Clicking Test plays the selected sound if you have a sound card.

Every:_ Minutes
Use the up or down arrows to indicate how often to repeat the sound. You can select from 1 to 60 minutes.

Print Received Faxes
Check this box if you would like to automatically print faxes when they are received. Click the Setup button to select the desired printer.

Local Access
Enter the combination of keys you want to use as a Hot Key to enter FaxTalk Messenger's command mode locally through the connected telephone handset (this feature is dependent on your modem's capabilities).

Answer Now
Enter the combination of keys you want to use as a Hot Key to tell FaxTalk Messenger to pick up the line and answer the call.

FaxTalk Phone to Front
Enter the combination of keys you want to use as a Hot Key to tell FaxTalk Messenger to open FaxTalk Phone in front of all the other open windows.

Note: Hot Keys can be used from within other programs. This is helpful so when a call comes in, you can handle the call as desired without having to leave your application and switch to FaxTalk Messenger.

Configure User Menu
The User Configuration parameters define what information will be displayed on faxes that you send. The fax header information is printed at the top of each page sent. Access these parameters with the
Configure > User menu command. You can set:

Fax User ID
Type the name you want to appear (up to 20 characters) on the top of the faxes you send. The Fax User ID can be your name, your company's name, or anything you wish. It is used as an identifier by fax machines with which you communicate.

Fax #
Type your fax phone number. The number appears at the top of the faxes you send.

Default Coversheet Template
Select the coversheet template file you want to use as the default coversheet by clicking on the down arrow next to Default Coversheet Template. If the template is stored in a different directory, click the file folder next to Default Coversheet Templates. Select the appropriate directory and file. Note that you can choose from any template each time you send a fax; this simply sets the default template. You can click on the New button to create a new coversheet template, the Edit button to edit the current template, or Delete button to delete the current template.

Automatically Generate a Coversheet
Enables the Generate Coversheet option if you want to automatically include a coversheet with faxes that you send.

Note: You can choose whether or not to send a coversheet every time you send a fax; this parameter simply sets the default value.

Send Page Headers
This option indicates whether you want to send Headers on all fax pages that you send. Headers appear at the top of each fax page, indicating your Fax User ID, Fax #, Date and Time, an Page #. The information you specified for Fax User ID and Fax #, as well as other information, can be included in your Headers.

Configure Fax / Voice Messages Menu
The Faxes and Voice Messages Configuration parameters let you specify type of page you normally send and the settings for recording messages and greetings, and remote reporting features. Access these parameters with the
Configure > Faxes and Voice Messages menu command.

Resolution
Select the resolution at which you will send most of your faxes. Fine resolution is approximately 200 x 200 dpi and is the default. Standard resolution (approximately 200 x 100 dpi) is also available. Fine resolution faxes look better when they are received, but they take longer to transmit.

2-D Encoding
Enable the 2-D encoding option to decrease data transmission time. In order to use this option, the receiving party must also support 2-D encoding. If the receiving party is not 2-D compatible, FaxTalk Messenger sends the file in regular (1-D) mode.

Error Correction Mode
Enable Error Correction Mode (ECM) to ensure clean transmissions in case of poor quality or noisy phone lines. This option can only be used if both the sending and receiving modem support error correction. If the receiving party is not ECM compatible, FaxTalk Messenger sends the file in non-ECM mode.

Orientation
Select which direction the information contained on the page is printed. Information is printed with either Portrait (tall) or Landscape (wide) orientation. The default setting is Portrait.

Time & Date Stamp
Check this box if you want FaxTalk Messenger to report the time and day of all received messages and faxes when you retrieve them remotely.

Sender's Fax ID
Check this box if you want FaxTalk Messenger to report the sender's ID of all received faxes when you retrieve them remotely.

Page Size
Select the page size you will be faxing most often. The default paper size is Letter size (8½" x 11").

Configure Mailboxes Menu
The mailbox configuration parameters are grouped into Mailbox Parameters and Mailbox Access. Mailboxes have several options that can be set to customize them for your needs.

Mailbox Access Parameters
The Mailbox Access dialog box options let Mailbox Manager define the password requirements and password entry methods required (if any) for each mailbox. To modify the Mailbox Access parameters, click the Mailbox Access tab from the Manage Mailboxes dialog box. The Manage Mailboxes Access options appear.

Password Required
Specify whether a password is required to access mailboxes from the keyboard, if you are the Mailbox Manager, or for remote and local telephone access. You can select any, all, or none of the password methods by clicking in the corresponding checkboxes.

Manager Password
Enter the password that the Mailbox Manager uses to access the system. You can enter up to 8 alphanumeric characters. If Passwords Required for Manager Access is enabled this password will also be used when accessing the software's configuration menus.

Default Mailbox has Universal Access
Specify that the default mailbox has access to ALL mailboxes' messages and faxes. You can enable access from the Keyboard, Local and Remote Access, or Both.

You can click OK to save the access configuration changes, or click the Mailbox Parameters tab to return to the Manage Mailboxes dialog box.

Modify Mailbox Parameters
When you choose
Configure > Mailboxes the Manage Mailboxes dialog box appears with the Mailbox Parameters tab displayed.

The Mailbox Parameters tab options let the Mailbox Manager create, modify and delete mailboxes. The Mailbox Parameters include:

Show
Specify whether you want to list mailboxes by Name or Number in the Mailboxes list box, by selecting the Mailboxes by Name or Mailboxes by Number option. You can also display the mailbox templates in the Mailboxes list by selecting the
Mailbox Templates option.

Set as Default Mailbox
Specify which Voice/Fax mailbox FaxTalk Messenger should treat as the default mailbox. Select the desired Voice/Fax mailbox from the Mailboxes list and click the
Set as Default Mailbox button.

Add
Click the Add button to add a new mailbox.

Note: You cannot change the mailbox type or number once you have created a mailbox. You can remove the mailbox and add another mailbox with the desired mailbox type or number.

Remove
Select the mailbox you want to remove from the Mailboxes list. Click the
Remove button to delete the mailbox. Use this function with care as there is no way to restore a mailbox that has been removed.

Note: You cannot remove the default Voice/Fax mailbox, or any of the mailbox templates.

Modify
Select the mailbox or template that you want to modify from the Mailboxes list. Click the
Modify button. The Mailbox Settings dialog box for the type of mailbox you selected displays. Mailbox settings vary depending on the type of mailbox you have selected.

You can click OK to save the mailbox parameter configuration changes, or click the Access Tab to display the Mailbox Access dialog box.

Mailbox Profile Settings
The Mailbox Settings Profile tab options change depending on the type of mailbox selected. Fax on Demand and Data Host Mode mailboxes do not contain all of the options available to a Voice/Fax mailbox.

To view the Mailbox Profile settings for a mailbox, click the Profile tab to display the Profile tab. These options are modified by the Mailbox Manager.

Name
Displays the name of the mailbox

Number
Displays the mailbox number.

Type
Displays the mailbox type.

Remote Access Allowed
Specifies whether this mailbox can be accessed using a remote phone. This is only available with a Voice/Fax mailbox.

Maximum Message Length
Specifies the maximum number of seconds each message can be. This is only available with a Voice/Fax mailbox.

Discard Messages Under
Instructs FaxTalk Messenger to discard messages under the specified number of seconds. This is only available with a Voice/Fax mailbox.

Incoming Message Quality
Specifies the quality of recordings for your incoming messages. The higher the setting, the more clear the voice quality. Using the high voice quality setting means larger voice files. This is only available with a Voice/Fax mailbox.

Mailbox Personal Settings
To view the Mailbox Personal settings for a mailbox, click the Personal tab to display the Mailbox Personal options This dialog box contains the greeting and password settings for this mailbox.

The Personal mailbox settings are the same regardless of the mailbox type. The options include:

Greeting
Selects the greeting to be played when a call is received in this mailbox. You may select another greeting by clicking the
down arrow next to the Greeting box.

New
Click the
New button to open the Player window so you can record a new greeting.

Edit
Click the
Edit buttons to open the Player window so you can edit the selected greeting.

Delete
Click the
Delete button to delete the selected greeting.

Password
Enter a new password for this mailbox. Typically this would not be used for Fax on Demand or Data Host Mode mailboxes.

Mailbox Actions Settings
The Mailbox Settings Actions tab options change depending on the type of mailbox you selected.

Play Greeting
Specifies whether the selected greeting is played when a call is received in this mailbox. You may also select an existing greeting.

Transfer on 0 to
Enables call transfer when the caller presses 0 during the mailbox greeting. Selection determines whether to transfer the call to another mailbox or another phone number from the Transfer Type list box.

Take Messages With
Specifies which touch tone number a caller should press to skip the greeting and be prompted by the beep to begin recording a message.

Receive Faxes With
Specifies which touch tone number a caller should press to skip the greeting and start the fax receive tone.

Auto Detect Fax
Specifies whether this mailbox has Auto Detect to determine what type of call is being received (fax vs. voice).

Allow Transfer to Mailboxes
Allows the caller to enter a mailbox number and a # during the greeting so FaxTalk Messenger can switch to the corresponding mailbox.

Default Action After Greeting
Specifies which default action FaxTalk Messenger will take when a call is received and no touch tones are entered after the greeting.

Actions Settings for a Fax on Demand Mailbox

Play Greeting
Specifies whether the selected greeting is played when a call is received in this mailbox. You may also select an existing greeting.

Transfer on 0 to
Enables call transfer when the caller presses
0 during the mailbox greeting. Selection determines whether to transfer the call to another mailbox or another phone number from the Transfer Type list box.

Send Lists of Documents
Click the
Send Lists of Documents radio button to specify that the caller will receive the list of one or more faxes you selected as soon as he/she selects this mailbox. To specify which documents you want to appear on the Fax-on-Demand list, click the Files button next to the Send List of Documents option to display the Fax-on-Demand File (Send Style) dialog box.

Select a file in the File list on the right side of the dialog box, and click the Add button to add it to the Fax-on-Demand Documents list. You can select the BMP, PCX, or All Bitmaps file formats from the List Files of Type list box, if you want to add graphic files to the fax-on-demand list. If you want to add binary files highlight the desired files and click the Options button. From the Options dialog box, click Send File As and select Data File. Click OK to return to the Specify Fax-on-Demand Documents (List Style) dialog box.

To remove a file from the Fax-on-Demand list select the desired file and click the Remove button. If you want to look at the document before you add it to the Fax-on-Demand list, select the desired file from the Files list and click the View button to open the Viewer and display the file. You can also click the Options button to select which pages you want to send. The default is to send all of each file's pages.

Specify Faxes by Touch Tone
Click the
Specify Faxes by Touch Tone radio button to specify that callers can select desired faxes using their touch tone phone.

You can identify up to nine documents and associate a document with each touch tone number. When the user presses the associated number using their touch tone phone, the document will be immediately faxed back. To select a document to fax when the caller presses touch tone 1, click the down arrow next to the number 1 list box and select a file.

If the desired file is not listed, you can click the folder next to the down arrow. The Open Files dialog appears. You can change directories and change the type of files listed to locate the desired file. ClickOK to return to the Specify Fax-on-Demand documents dialog box. The list box will now display the files type of files you specified and/or the files contained in the directory you selected

You can also click theOptions button to select which pages you want to send. The default is to send all of each file's pages. You can also select the BMP, PCX or All Bitmaps file formats from the List Files of Type list box, if you want to add graphic files to the Fax-on-Demand list. If you want to add binary files highlight the desired files and click the Options button. From the Options dialog box, click Send File As and select Data File. Click OK to return to the Specify Fax-on-Demand Documents dialog box.

You will need to create a greeting that describes the different documents that are available and which touch tone keys need to be pressed to access them.

Actions Settings for a Data Host Mode Mailbox

Play Greeting
Specifies whether the selected greeting is played when a call is received in this mailbox. You may also select an existing greeting.

Transfer on 0 to
Enables call transfer when the caller presses
0 during the mailbox greeting. Selection determines whether to transfer the call to another mailbox or another phone number from the Transfer Type list box. Enter the desired phone number in the text box.

Data Host Mode Program
Select which data communications application you will be using to transfer files from the Data Host Mode Program list box.

Note: The selected data communications application must be running in host mode for callers to use a Data Host Mode mailbox.

Parameters
Enter the parameters for the selected data communications application, if needed.

Mailbox Notification Settings
The mailbox notification settings are only available when you are modifying a Voice/Fax type mailbox.

There are three methods of notifying you when call has been received, by Fax, Voice or Pager.

Fax Notification

Notify by Fax Allowed
Specifies whether FaxTalk Messenger is allowed to notify you of incoming faxes and messages via fax.

Notify of
Select whether you want FaxTalk Messenger to notify you of received faxes, messages, both, or none.

Fax #
Enter the fax number of where you would like FaxTalk Messenger to send the notification. If you selected Forward Faxes, FaxTalk Messenger will forward all of the newly received faxes to this number, as well.

Options
Click the
Options buttonto set the following parameters:

Notify on Failures
Select whether you want FaxTalk Messenger to notify you of fax receive failures.

Forward Faxes
Check this box to have FaxTalk Messenger forward all of your newly received faxes. If you choose not to have your faxes forwarded to you, FaxTalk Messenger just sends a coversheet telling how many new faxes and messages have been received.

Use Coversheet
Select the coversheet you want FaxTalk Messenger to use when it notifies you. You can also create a new coversheet, edit or delete the currently selected coversheet. It is usually a good idea to create a special
"notify" coversheet with your name filled in as the recipient.

Number of Retries
Use the up or down arrows to indicate how many times you want FaxTalk Messenger to try to send the notification. If for some reason FaxTalk Messenger cannot put the call through (the line may be busy), it will retry the specified number of times.

Voice Notification

Notify by Message Allowed
Specifies whether FaxTalk Messenger is allowed to notify you of incoming messages and faxes via voice call.

Notify of
Select whether you want FaxTalk Messenger to notify you when you receive new faxes, messages, or both.

Voice #
Enter the voice number where you would like FaxTalk Messenger to notify you.

Options
Click the
Options button to set the following parameters:

Notify on Failures
Select whether you want FaxTalk Messenger to notify you of fax receive failures.

Play Greeting
Select or record a new greeting that you want FaxTalk Messenger to play when it calls to notify you. FaxTalk Messenger will play this greeting three times if no action is taken. During the greeting, you must press
# to access your system and listen to new messages or have faxes forwarded to you.

Note: When you use the notify feature, we suggest creating and using a new greeting: "I am trying to reach <your name>. Press # to access the system and listen to the messages. "

Number of Retries
Use the up or down arrows to indicate how many times you want FaxTalk Messenger to try to send the notification. If for some reason FaxTalk Messenger cannot put the call through (the line may be busy), it will retry the specified number of times.

Pager Notification

Notify By Pager Allowed
Specifies whether FaxTalk Messenger is allowed to notify you of incoming messages and faxes via a beeper.

Notify of
Select whether you want FaxTalk Messenger to notify you when you receive new faxes, messages, both, or none.

Pager #
Enter the pager number you would like FaxTalk Messenger to call. If your phone system requires it, include in your pager number pauses, etc. Use
"," to indicate a pause, "%" to indicate a hang-up, and "@W" to specify the system to wait for a tone. If your pager accepts the * character (some pagers use a * to cancel), you can use it as a "separator" (see the example, below). After your pager number, enter the code for the type of notification you would like to receive. Entering an "@M" displays the number of new messages, entering an "@F" displays the number of new faxes received.

For example: Enter "5551212,,,5553232**@M**@F#%" in the pager number field to have FaxTalk Messenger call your pager (number 555-1212), pause for the required amount of time, display your number so you know it is your PC paging you (555-3232), display the number of new messages and new faxes received, and hang-up. Remember, not all pagers will accept * as a valid character.

Options
Click the
Options button to set the following parameter:

Notify on Failures
Select whether you want FaxTalk Messenger to notify you of fax receive failures.

Mailbox Polling Settings
The polling mailbox settings are only applicable to the default Voice/Fax mailbox. To modify the polling settings in the default Voice/Fax mailbox:

Click the Polling tab to display the Mailbox Settings Polling options. The options include:

Local Polling
Click the
Local Polling checkbox to let callers poll your system for faxes. Click the Files button to designate which files you want to add to the polling list.

AutoPoll
Click the
AutoPoll checkbox to place all incoming faxes on a polling list so you can have access to new faxes while you are away from the office.

AutoPoll Password
Enter a password to control the access to the
AutoPoll polling list.

AutoPoll Faxes Received in all Mailboxes
Click the
AutoPoll Faxes Received in all Mailboxes to automatically put incoming faxes received in all other mailboxes, on the polling list.

Mailbox Aging Settings
You can configure a Voice/Fax mailbox to automatically save or delete received messages or faxes after a certain period of days. To modify the Aging Mailbox Setting options in the Voice/Fax mailbox:

Click the Aging tab to display the Mailbox Settings Aging options. The options include:

Messages
Select whether to automatically save or delete received messages after X days. Then select after how many days you want the aging to be performed.

Faxes
Select whether to automatically save or delete received faxes after X days. Then select after how many days you want the aging to be performed.

Using the Pop up Window
You can configure the FaxTalk Messenger Answer parameters to automatically open or
"pop up" a window to let you decide how to handle incoming calls. You can also configure a sound file to be played when the Pop up window appears. To configure the Pop up window, click the configure button next to When phone rings option in the Answer Configuration dialog box, located in the Configure menu. When the Pop up window appears you have three options:

FaxTalk Phone
FaxTalk Phone contains configuration options for the speakerphone features as well as the personal messaging functions. You can configure FaxTalk Phone to answer incoming calls automatically with a personalized greeting or have FaxTalk Phone pop up a dialog box indicating an incoming call with options for answering the call.

Phone Setup Menu
The Phone Setup dialog includes parameters that specify when FaxTalk Phone automatically answers calls and how it will handle that call, whether to present a dialog announcing new calls, if distinctive ring should be used, and the sensitivity of the speakerphone microphone. You can set:

Answer After
Select the number of rings for FaxTalk Phone to answer a call. The number of rings can range from 1-8.

Enable Toll Saver
Check this box to enable Toll Saver. With this option checked, FaxTalk Phone will wait two extra rings before answering when you have no new messages or faxes.

Screen Calls
You can use the FaxTalk Phone to screen calls when you are too busy to take unimportant calls. When someone calls you and you have FaxTalk Phone loaded (even if it is minimized), you can hear the incoming caller and decide to answer the call or let FaxTalk Phone take a message. To enable the Screen Calls feature, click on the
Screen Calls check box to enable the Screen Calls option.

Note: The FaxTalk Phone Screen Calls feature is dependent on your modem's capabilities.

Distinctive Ring
If the Distinctive Ring phone service is available in your area and you subscribe to it, you can select this option to have FaxTalk Phone answer each line with a specific mailbox. Incoming calls can be identified as to which phone number by the ring length and timing of the ring.

If you enable this option, click the Configure button and specify how FaxTalk Phone should answer each line. Click the checkbox next to each line you plan to use (up to 4 lines), and select which mailbox you want each line to answer with. If your modem uses nonstandard ring messages, click the Setup button from the Configure Distinctive Ring Answer dialog box to modify the standard settings.

Note: The Distinctive Ring feature is dependent on your modem's capabilities.

When Phone Rings
FaxTalk Phone can display a pop-up message box whenever a call is received at your computer. The pop-up box notifies you of the incoming call and gives you the option to let FaxTalk Phone take a message, to not answer the phone at all, or to take the call yourself using FaxTalk Phone.

Microphone Sensitivity
You can use this setting adjust the sensitivity of the speakerphone microphone. Setting the volume to the left reduces the sensitivity while setting the volume to the right increases the sensitivity.

Automatic Message Playback
FaxTalk Phone includes a feature to automatically play back received messages once the
Messages button is clicked. If a mailbox hasn't been selected in the Review Messages window or if password protection is enabled for a mailbox, then playback will occur once the mailbox has been logged into.

Mailbox Setup Menu
The Mailbox Setup dialog includes parameters that let the user configure individual mailbox settings. Settings include mailbox name and password, message length and quality, and what greeting to play to the caller.

Select Mailbox
Use the drop down list to select the specific mailbox you wish to configure.

Name
Displays the current name of the mailbox.

Number
Displays the currently selected mailbox's number.

Password
If you want to password protect this mailbox enter a password here.

Mailbox Accepts
Check the Messages and Faxes check boxes to have the selected mailbox automatically detect and receive both messages and faxes. If you want this mailbox to just accept messages simply check only the Messages box and if you only want this mailbox to accept faxes check only the Faxes box.

Max. Message Length
Specifies the maximum number of seconds each message can be. The supported values are 1 to 999 seconds

Discard messages Under
Instructs FaxTalk Phone to discard messages under the specified number of seconds.

Incoming Message Quality
Specifies the quality of recordings for your incoming messages. The higher the setting, the more clear the voice quality. Using a higher voice quality setting means larger voice files.

Play Greeting
Enable this option to play a greeting when a caller accesses the mailbox. Use the drop down to select a greeting by clicking the
down arrow next to the file folder icon. You can also use the New button to open the Player window so you can record a new greeting, the Edit button so you can edit the selected greeting, or the Delete button to delete the selected greeting.

Dialing Setup Menu
The Dialing Setup parameters specify the dialing characteristics of your telephone system and how you want FaxTalk Phone to handle dialing. These are the same Dialing Configuration options used in FaxTalk Messenger.

Music on Hold Setup Menu
The Music on Hold Setup parameters specify whether music should be played when a caller is on hold and what music source to use.

Note: The Music on Hold feature is dependent on your modem's capabilities and may not be available.

Play Music on Hold
Check this box if you want Music on Hold to be played to callers when the
Hold button is used in FaxTalk Phone

Music Source
Select the specific music source that you want played to the caller from the list of available devices. FaxTalk Phone supports the use of .WAV, MIDI, CD-Audio and Line In devices for Music on Hold.

Note: The list of available devices is dependent on your modem and computer hardware.

Sequence
Select the sequence in which you want the music played to the caller. If you select the
Continue sequence between calls option the Music on Hold function will skip to the next audio selection each time Hold is activated. If you select Restart sequence each call the Music on Hold function will revert back to the beginning of the last played audio selection each time Hold is activated.

.WAV
Select this tab to configure which .WAV files are played when the .WAV music source is selected. Select the files from the file list on the right side of the dialog and click the
Add button to add them to the play list. You can remove items from the play list by selecting them and clicking the Remove button. Use the Test and Test All buttons to play the files for review and the volume control to set the playback volume to the caller.

MIDI
Select this tab to configure which MIDI files are played when the MIDI music source is selected. Select the files from the file list on the right side of the dialog and click the
Add button to add them to the play list. You can remove items from the play list by selecting them and clicking the Remove button. Use the Test and Test All buttons to play the files for review and the volume control to set the playback volume to the caller.

CD Tracks
Select this tab to configure which CD Audio Tracks are played when the CD Tracks music source is selected. Select the files from the file list on the right side of the dialog and click the
Add button to add them to the play list. You can remove items from the play list by selecting them and clicking the Remove button. Use the Test and Test All buttons to play the files for review and the volume control to set the playback volume to the caller.

Note: You must have a CD Audio disk inserted in the CD-ROM drive for the list of available tracks to appear.

Speed Dial Buttons Setup
The Speed Dial Buttons Setup allows you to assign a name and number to one of the eight speed dial buttons found on the Speed Dial tab. When configuring a button you can type in a name and number or use the phonebook section to look up the desired name and number. Options include:

Select Button
Use the dropdown to select the specific
Speed Dial button you wish to configure.

Name
Enter a name to be displayed on the
Speed Dial button.

Number
Enter the number that the
Speed Dial button would dial when selected.

Phonebook
Use this option to open a phonebook to select entries to add to a
Speed Dial button. You can also Add new entries to the currently selected phonebook, as well as Edit or Delete existing entries.

Set Speed Dial
Once you highlight a number in the phonebook that you want to add to a
Speed Dial button click this button to add it to the Speed Dial button
